商业Email,不一定要生意腔!

1. 不要生意腔:可以用We就不要用You
每一封email往来,都是你和与收信人之间的交流。很多人以为写商业email就应该用「生意腔」,于是把本来有感情基础的email写得官样。
(不好) "Your mail has been received."/"Your complaint is being looked into."
(好)"I have received your mail."/"We are looking into your complaint."
每次email往来不就是跟对方进行了一次交谈吗?只不过是把交谈的介面放在email上而已。多用一些简单明了的句子,用我/我们做主词,这样才能让email读起来热情、友善,像朋友交谈那样简单、自然,亲切又人性化。
"You" 态度:You will receive your computer by next week.
"We" 态度:We are happy to have your order. We shipped it by July 21.
2. 一针见血:可以清楚就不要模糊
写email最忌讳文绉绉,要打电话给人就用call,要去拜访人就说visit,不要用模模糊糊的contact。
模糊:Contact, Soon
明确:call, write, visit, by March 15
3. 讯息简明:可以一个字就不要两个字
大部份商业人士跟你一样,每天都要阅读大量email。所以email一定要写得简明扼要。与主题无关或者无助于email的目的内容,请毫不留情的舍弃。
(冗长)The paper jam had the effect of a destructive force on the copy machine.
(精简)The paper jam destroyed the copy machine.
(冗长)We have enclosed a brochure which shows further details of manufacture.
(精简)The enclosed brochure shows further manufacture details.
4. 语言朴实:用对方看得懂的关键字
每个行业都有自己的行话,email沟通时候要确定别人懂不懂你的行话,也尽量不用华丽词藻。西方的语言习惯,他们更愿意使用简练而朴实的语言;比如:
We look forward to a bright and glorious future of cooperation.
就不如直接写成:
We hope to have the opportunity to work with you in the future.
这样才更加符合西方人的语言习惯。
(迂回) The choice of exogenous variables in relation to multi-collinearity is contingent upon the derivations of certain multiple correlation coefficients.
(直接) Supply determines demand.
5. 有技巧的表达:永远让人觉得you're helpful
同样一件事说法不同,得到回应就不同,有技巧的说法让人乐于为你效劳。
(拙)Obviously, if you'd read your policy carefully, you'd be able to answer these questions yourself.
(拙)In order to complete the claim you made, simply. . .
(拙)We want to get our check.
(巧)I'm glad to clear up these questions for you.
(巧)To complete your transaction, . . .
(巧)To keep your account in the preferred customer class, please send our check for NT$200,000 today.
6. 标题就看得出来专不专业
也许很多人都没有意识到,E-mail的标题是很重要的一个部分,你的邮件给对方的第一个印象就是透过标题来完成的。如果标题没有内容,看起来像群组垃圾邮件,命运就是直接进入垃圾桶。
(不专业)How are you?
(不专业)Can we work together?
(专业) Introduction: Our Product Offerings for Bright Ideas Imports.
(专业)Proposal: Bright Ideas Imports-ABC‘s Partnership Opportunity.
